Answering Phone Calls: 5 Simple Steps
Check if you know the number or not.
If you don’t know who’s on the other end of the line, you need to be more cautious with your language and answer in a formal and polite way.
Answer the phone call before the third ring.
Try your best to always answer before the third ring, more than that makes the caller wait too long and either get annoyed or end the call.
Concentrate on the conversation.
Stop whatever you were doing and focus on the call, ignore all other sources of noise and distraction. Nobody likes to be talking to someone who sounds distracted and elsewhere.
Answer with a smile on your face.
This is an old and effective trick that you should use when answering phone calls. The caller will “hear” the smile in your voice.
If you know the caller personally, feel free to be more casual and open with your answer. For example: “Hey John, how are you doing?”. If you don’t recognize the number remember to be more discreet and never give away your name first, just as a precaution. In this situation a simple “Hello?” or “Hello, who is this?” will do.
